Web and AI systems for dental practices

A dental practice's growth constraints are usually chair utilisation and new-patient intake, not marketing volume. The systems worth building are the ones that fill cancelled slots, stop new-patient enquiries going unanswered, and reduce no-shows — all under privacy rules that make careless automation a liability rather than an efficiency.

What usually goes wrong

  • New-patient calls arrive while front desk is with a patient in the chair, and go to voicemail
  • Late cancellations leave chair time unsold with hours of notice
  • No-shows carry the full cost of the slot with none of the revenue
  • Insurance and cost questions stop prospective patients from booking, and often are not answered anywhere on the website
  • Recall lists exist but nobody has time to work them

What pays for itself first

Ranked by how quickly it returns the build cost in this specific trade, not by what is most impressive to demo.

01

New-patient intake capture

A voice agent and website assistant that answer the common questions — do you take my insurance, are you accepting new patients, what does a first visit cost — and capture the enquiry with enough detail for the front desk to call back prepared.

Why it pays: New-patient acquisition is the highest-value enquiry a practice receives, and it is the one most often lost to a voicemail box. Answering the insurance question alone converts a meaningful share of hesitant callers.

02

Cancellation fill and recall working

When a slot opens, automation contacts a prioritised short list of waiting and overdue patients with the specific opening, and works the recall list on a schedule instead of when someone remembers.

Why it pays: An unsold chair hour is unrecoverable revenue. Filling even a fraction of late cancellations usually outperforms any marketing spend at the same cost.

03

Confirmation and reminder sequence

Multi-step reminders with easy rescheduling, so a patient who cannot attend moves the appointment instead of vanishing and freeing nothing.

Why it pays: Reducing no-shows protects capacity you have already paid for. The goal is not to punish no-shows but to convert them into reschedules early enough to resell the slot.

The constraint we design around

Patient information is regulated: HIPAA in the United States, PHIPA and provincial equivalents in Canada. That shapes the build rather than being a footnote to it — no patient health information in third-party AI prompts unless the vendor is covered by a business associate agreement, minimum necessary data in every message, no diagnostic content in any automated reply, auditable access, and appointment reminders that do not disclose treatment details. If a design cannot meet those conditions, we do not ship it.

Questions from dental clinics owners

Is it safe to use AI in a dental practice given HIPAA?

It can be, with the boundaries drawn correctly. The workable pattern keeps protected health information out of general-purpose AI services and confines automation to scheduling, reminders, and answering non-clinical questions, using the minimum data needed and an auditable trail. Where a vendor must handle protected information, that requires a business associate agreement in place first. ⚠ This is how we build, not legal advice — your practice should have its own counsel or compliance officer confirm any specific configuration.

Can a chatbot answer questions about dental problems?

No, and we build it to refuse. Anything that reads as clinical advice — is this pain serious, do I need a root canal — gets a clear escalation to the practice rather than an answer. The bot handles logistics: availability, insurance, location, cost ranges, what a first visit involves.

Will an AI agent annoy patients?

It depends entirely on what it is used for. Answering an unanswered call and offering a real appointment is a better patient experience than voicemail. Automated marketing pressure is not. We use it on the calls and messages a patient is already expecting a response to, and we keep an easy path to a person.
